"Our practice requires 24 hours advance notice to cancel or reschedule an appointment. Appointments cancelled with less than 24 hours notice may be subject to a late cancellation fee of $[25-50]. Patients who do not appear for their scheduled appointment without advance notice (no-shows) may be charged a no-show fee of $[25-75]. This fee cannot be submitted to your insurance carrier and is your direct financial responsibility. Repeated no-shows may affect your ability to schedule future appointments with this practice. If you experience an emergency or illness preventing attendance, please notify us as soon as possible."

"I require 24 hours advance notice to cancel or reschedule a session. Sessions cancelled within 24 hours of the appointment time will be charged the full session fee of $[X]. This late cancellation fee will be charged directly to you and cannot be submitted to your insurance carrier. Appointments for which you do not appear and for which no advance notice is given (no-shows) are charged at the full session rate. Occasional exceptions may be made for genuine emergencies at my sole discretion. Consistent attendance supports your therapeutic progress and ensures my time is available for clients who need it."

Salon Cancellation Policy

"A valid credit card is required to hold all appointments. We require 24 hours advance notice for cancellations. Appointments cancelled with less than 24 hours notice will be charged 50% of the scheduled service total. Appointments that are not attended without advance notice will be charged 100% of the scheduled service total. This charge will be applied to the card provided at booking. Repeated no-shows may require full prepayment for future bookings."

Salon cancellation fees are legal in all US states as terms of a private service agreement. Display the policy at your reception desk, in your booking confirmation, and on your website.
Restaurant

Restaurant Deposit and No-Show Policy

"Reservations for parties of [6+] require a credit card to secure your booking. A deposit of $[25] per person will be charged at the time of booking. This deposit is fully refundable for cancellations made at least 48 hours before your reservation. Cancellations within 48 hours and no-shows forfeit the deposit. We look forward to hosting your group and appreciate your understanding of our policy."

FAQ

Can a doctor charge for a no-show?+
Yes. Physicians and practices can charge no-show fees in all US states. The AMA Code of Medical Ethics permits charging for missed appointments provided the policy is disclosed to patients in advance. For Medicare and Medicaid patients, a no-show fee is permitted but cannot be used as a condition of continued care (you cannot refuse to see the patient if they owe a no-show fee).
What should be in a no-show policy?+
A complete no-show policy should include: (1) definition of a no-show vs late cancellation, (2) required notice period for cancellations, (3) fee amount for late cancellations and no-shows, (4) how the fee is collected, (5) exceptions policy (emergencies, illness), (6) how the policy affects ongoing care (if at all), and (7) the patient's signature acknowledging receipt.
